Job Title:Medical Records Assistants (2 positions)
Reports To: Data Manager
Location: Kampala

 

Job Summary: The Records Assistant will mainly be responsible for the efficient and effective creation, storage, retrieval of all the medical records.

Key Duties and Responsibilities:  

  • Tasked with the retrieval of patient’s files for scheduled appointments and their delivery throughout the hospital
  • Collect cleared patient files from the wards / departments
  • Keenly review medical records for completeness
  • Assemble records into standard order, and file records to designated areas according to applicable numeric filing systems.
  • Update all files received from the ward into the records' register.
  • The incumbent will also maintain the continuity of work within the records department by documenting and communicating with the line managers on irregularities and continuing needs.
  • The incumbent will quickly respond to requests for information from files in accordance with established policies and procedures
  • Tasked with utilizing the facility automated software system to enter medical data
  • Maintaining the confidentially of all medical records
  • Providing technical expertise in identifying potential issues pertaining to medical records
  • Scan incoming patient files.
  • Participate in data collection and compilation of HMIS reports as well as assessment of medical records.
  • Deliver a high quality client service and customer care to clients.
  • Perform any other duties incidental to the above assigned from time to time as assigned by the relevant authority.

Qualifications and Experience:

  1. The ideal candidate should have at least a Diploma in Records and Archives Management, Health records management from a recognized Institution or any other related courses.
  2. A Certificate in Medical Records is an added advantage
  3. A minimum of one year  of relevant working experience in the same position/role in a reputable organization
  4. Computer skills and ability to use computerized Patient Administration Systems
  5. Highly analytical, communication and interpersonal skills
  6. Keen attention to detail
  7. Knowledge in HMIS reporting
  8. Knowledge in ICD-10 medical coding reference
